Terms & Conditions

Like all good communities we like to keep things safe, fair and clear. We’ve worked hard to bring together a quality event that benefits the products you bring. Below are our terms and conditions.

Registrations and Payment
Acceptance into previous Waikato Festive Market events does not qualify acceptance into all markets. There are no exceptions and no holds for any business. Spaces are limited. Once stall allocations have been filled, stalls may be placed onto a wait list and should a stall space become available at the Market the stallholder will be contacted.

Once accepted into the market, you must pay your site fee within 10 days to secure your spot. Failure to do so will result in your spot being given to someone else. 1 reminder email will be sent per stall, failure to pay or respond will result in your stall space being re-sold.

An invoice will be sent to the provided email address upon confirmation into the Market with all due dates for payments stipulated. Failure to provide payment by the due date may incur late payment fees and/or you being turned away from the gate on Market Day.

Stallholder Declines and Termination of Stall Space
Organisers have the right to decline Stallholders applications for Markets at their discretion. We reserve the right to terminate any stallholder at any time at our discretion. Any stall space terminated by Waikato Christmas Market does not qualify for a refund.

Breach of the Terms and Conditions, failure to provide a complete application, failure to pay the required deposit, products that do not fit with the Market ambiance and any unsafe, unsavory and/or abusive behaviour online, in person or on Market Day, may result in your application being declined, or your stall space being terminated before or at the Market.

Cancellations / Refunds:
If you are not able to attend your booked date, please notify Core Events (the organisers) as soon as possible. Your site fee, special request charges and power charges are all non-refundable.

If you are unable to attend the booked market date, stall fees are not transferable to a future market date.

Wet Weather Procedure
With the exclusion of an extreme weather event the market will go ahead rain, hail or shine. Outdoor stalls are booked at your own risk. No refunds will be given if you cancel due to bad weather. In extreme weather, market organizers may cancel the event. Market organizers will do their best to inform stallholders as soon as possible if the market is cancelled.

Damages
Any damage caused by a Stallholder to the venue, including the grounds, will be invoiced directly to the Stallholder and may result in the Stallholder being expelled from the Market and all future applications declined.

Indemnity Clause
All stalls, exhibits and interactive activities are at the risk of the Participant. The Participant indemnifies the Organizers and owners of the venues against all loss, damages and claims made against or suffered by them or each of them in any way directly or indirectly relating to the stall of a Participant, the exhibit or any action of the Participant, its servants or agents.

Insurance
Core Events holds their own public liability and statutory insurance as an event management company and do not carry insurance cover for individual stall holders. Stallholders are responsible for their own insurance as required.

Like-Stall Policy
We have a maximum allocation for all stalls selling similar items. This is 6 stalls maximum selling similar products (e.g. 6 candle stalls). This is to help our stallholders achieve sales at every market. Please do not take offence if we reject your application due to this allocation having already been met.

Stalls booked in one category found to have stock of a different category not specified on their application may be asked to remove stock from their stall and to cease sales of this product. Failure to do so may result in a stall being expelled from the Market.

Photography and Promotion
By participating in this market, you agree to Waikato Christmas Market and our photographers and videographers taking pictures of you and your stall for the purpose of future promotion.

You are also allowing us to use any photos sent through with your application form. Photos may be used on but not limited to social media, our website, newspapers, and flyers.

Stallholder Products

  • It is essential all stallholder products meet Government Standards before applying to attend this market, as we take no responsibility in regard to compliance.

  • Anyone selling food products must have a current food health and safety license and must provide us with this license number, prior to market day.

  • When applying you need to provide a detailed description of the products you will be bringing along. It is essential you keep to this list so we can keep competition to a minimum between other stallholders.

  • No Dangerous goods, firearms or explosives to be brought onto the venue grounds or sold at the market.

Rubbish Removal
All Stallholder rubbish must be removed off site by the Stallholder at the end of each Market. Failure to remove rubbish from the Market will result in a $20.00 rubbish removal fee. Any stall space found with rubbish or any rubbish placed into the bins without prior arrangement or outside of the acceptable refuse associated with your stall, will be invoiced at a $20.00 removal fee.

Stall Holder Obligations

  • Stallholders are responsible for all cash handled at their site during the course of the event. This includes ensuring that they have an adequate float.

  • All Stallholders must complete their Hazard Disclosure Form

  • You need to supply your own stall setup including table, shelving, racks etc. unless a special request is made to the organizer.

  • Please supply your own gazebo for outdoor stalls. Your gazebo must be secured down.

  • Use a full-length tablecloth to cover your table (unless the bare table compliments your stall look).

  • Hide your excess products and keep your stall area tidy at all times.

  • Display your business name

The Market organizer reserves the right to edit or change the above terms and conditions as and when required.
